The Department of Surgery has an outstanding opportunity for a Surgery Medical Clerkship Program Ops Specialist . The purpose of this position is to provide oversight and program management of the Medical Student Clerkship program within the Department of Surgery. This individual reports to the faculty member whose responsibility includes direction of the medical clerkship program within the Department of Surgery. S/he will have a matrixed reporting relationship to the Manager of the General Surgery Residency program.
The medical clerkship program is large, involving approximately 600 medical students per year. At any one time, approximately! 60 - 75 students are involved in Department of Surgery clerks! hips (mandatory and elective), preceptorships or undergraduate research projects. The clerkships take place at 30 or more sites, many out of state (within the WWAMI region) and outside the UW system. The individual in this position must intimately understand the needs and requirements of the program and be able to establish the program and translate the requirements into unfamiliar systems from across the WWAMI region. S/he works independently, assessing, problem-solving and making decisions to further the goals of the Medical Clerkship program.
Providing an excellent training experience for medical students is at the heart of the mission for the School of Medicine and for the University. This position (and similar positions in other departments) are pivotal in ensuring that substantial, excellent and meaningful medical clerkships occur for UW's medical students. S/he is critical to the program director; providing oversight and direction for the multiple aspects of! the program and alleviating the program director of these aspects of managing the program. S/he provides an important bridge between the medical school and the departments, and an important bridge between the UW School of Medicine and the WWAMI regional sites. S/he is an ambassador for the program as well as managing the multiplicity of regulations within unfamiliar sites. S/he must have a deft touch and build a good relationship with off-site administrators as well as the UW Medicine program leadership. S/he is often the first point of contact for medical students and the Department of Surgery. S/he must intimately understand the needs, concerns and requirements of students and the program and be able to find workable solutions for all entities.
The major components of this individualâs position fall into three categories:
Oversight and management of the required and elective medical student surgery clerkships
The individual in this position i! s responsible for scheduling required medical student clerkships and el! ectives offered at 30 hospital sites with 26 sites being non-UW),including management of all schedules (students and sites); ensuring programs and student experiences meet curriculum standards; managing student work hours and collaborating with off-site programs to implement processes to ensure compliance with policies. S/he acts as a resource for the medical students, including trouble-shooting and resolution of issues. S/he is a medical student program liaison with the Department of Surgeryâs Graduate Medical Education Program, providing medical students with an important conduit for their continued education. As such s/he must understand the GME program and accurately and adequately interpret policy and practices to medical students. S/he acts as expert and resource for program faculty and Program Director, including developing and generating regular statistical reports for the Director. The individual in this position must understand requirements of the program (estab! lished and emerging) and develop, implement and monitor new processes and systems within the UW and ensure processes are established in systems outside the University that maintain compliance with guidelines and requirements.
Operational management of the Surgery curriculum/clerkship courses
The indvidual in this position organizes and produces new courses in consultation with appropriate faculty, ensuring that courses meet requirements and provide a good learning experience for the medical students. S/he arranges course logistics including preparing, proctoring and grading clerkship examinations. In addition, s/he ensures course evaluations (by students and by faculty) are developed, prepared, conducted and analyzed. Lead UWMC departmental clerkship orientation.?
Management of the clerkship program office
The individual in this position is the first line of contact for medical students and outside sites for all questions regarding the me! dical clerkship program within the Department of Surgery. As such s/he ! must understand and interpret complex rules and regulations associated with the clerkship program, oversee website and other program materials and ensure website maintenance; develop and produce presentations describing the program for use by Program Director or self. S/he must provide direction to other staff involved with medical clerkship program (program coordinator and student assistants).

The Departmentâs activities are spread across nine campuses including the University of Washington Medical Center (UWMC), Harborview Medical Center (HMC), Seattle Childrenâs Hospital (SCH), the VA Hospital, Seattle Cancer Care Alliance (SCCA), Northwest Hospital (NWH) and the Health Sciences Building. REQUIREMENTS:
BA in business, healthcare studies, psychology, communications or similar AND 2-4 yearsâ experience managing a program of significant size and responsibility
Additional Requirements:
Must have familiarity with medical education programs;
Must be cus! tomer-service oriented
Must have ability to gain confidence of and work with people in a virtual setting;
Ability to manage multiple factors understanding priorities and consequences
Must be expert at Microsoft Office applications (Word, Excel, PowerPoint, Entourage. Outlook)
General graphic editing and web content publishing knowledge
Must be skillful at prioritizing work;
Excellent verbal and written skills; able to draft and proofread
Ability to gain the confidence of faculty and students; demonstrates good judgment in a variety of settings;
Proactive about work and follows to conclusion work projects
Ability to anticipate problems and to weigh alternatives to arrive at reasonable choices;
Ability to challenge conventional practices and find new methods for accomplishing work;
Ability to gather, analyze and assess information and make informed decisions and/or recommendatio! ns
Equivalent education/experience will substitute for all min! imum qualifications except when there are legal requirements, such as a license/certification/registration.

Familiarity with medical terms and medical educational system
Familiarity with UW Medical Education systems (E*Value, etc)
Familiarity with Web/Audio Conferencing
Condition of Employment:
Appointment to this position is contingent upon obtaining satisfactory results from a criminal background check.
Will need to work irregular hours on occasion to accommodate sites outside of Seattle
Program Director's primary site of practice is off-site from UW Medical School
