Lavin Pharma M Sdn Bhd is a premium skincare importer and distributor of Vaadi Organics from Delhi. We distribute the products nationwide via online and offline touchpoints.

As we are a proactive company looking to expand, ideal candidate must be able to perform daily administrative tasks in a cross-functional department culture.

Job description:

General

Person in charge for office management and supplies

Follow up with business correspondence emails and file shares

Forward incoming calls to relevant department

Maintain proper filing of all business records

Perform daily admin tasks

Any other ad-hoc clerical duties

Operations (online):

Printing of orders from Shopify, Lazada, Shopee and TikTok shop

Verify the orders once the warehouse assistant has picked the goods

Instruct warehouse assistant to update goods out for delivery in stock card

Key-in orders into SQL software (invoices)

Answer/reply to online platform customers

Release return products back to warehouse after knock off and credit note issued by accountant and remind the accountant to update latest stock level in SQL

Post daily sales report (summary in the morning) and final sheet for the day (by 5.45pm) in Whatsapp group

Order fulfilment for staff sale, Whatsapp and walk-in customers

Update of stock level on Shopify website, Lazada, Shopee and TikTok shop

Convert failed orders on Shopify to successful orders by telecalling customers and resolving the reason why customer left the shopping cart

Operations (offline):

Create sales order, delivery order and invoice for retail orders in SQL

Verify the orders once the warehouse assistant has picked the goods

Instruct warehouse assistant to update goods out for delivery in stock card

Assist to compile necessary documents and SOPs for the salesman to visit retailers for orders

Request and receive updates from the salesman on sales pipeline (orders | delivery | payment collection | feedback | shelf pictures)

Release return products back to warehouse after knock off and credit note issued by accountant and remind the accountant to update latest stock level in SQL

Logistic:

Be the go-to person for shipment related matters, from releasing PO to brand owner until assisting with delivery of goods to office warehouse

Assist in monthly stock take

Facilitate logistic materials (stock card, stock count sheet, final stock report template etc.)

Salary:

RM1,600 -RM2,500 per month

Experience in SQL software is nice to have but not a must
