The Department of Surgery has an outstanding opportunity for a part-time (50% FTE) Administrative Assistant B position. The position is located at University of Washington Medical Center, the site of the Center for Reconstructive Surgery at the University of Washin! gton. The individual in this position reports to the Plastic S! urgery Division Administrator with day-to-day oversight and direction given by the Reconstructive Surgery Operations Manager. This individual is responsible for providing direct, confidential administrative support to assigned Reconstructive plastic surgery faculty and provides support and assistance to the Reconstructive Surgery Operations on projects and administrative duties as requested and assigned.

The Center for Reconstructive Surgery is a growing center of emphasis for UW Medicine. Faculty membersare world-renowned and are clinically and academically very active. Ensuring that the initiatives and goals of the Division are met makes this a challenging and interesting position. Responsibilities include supporting the Division’s regular business operations.

Typical work includes: calendar management for assigned faculty and backup for Chief calendar, preparation and management of confidential correspondence, travel arrangements and reimbur! sements, preparing and tracking purchasing documents, meeting and special event coordination, assistance with academic work of faculty including: preparing meeting presentations, CV and other Bio maintenance and IRB applications. This individual will be called upon to provide assistance to the Operations Manager in a number of areas as need arises, including logistical arrangements for faculty recruitments, reappointments, maintenance of licenses and certifications as well as coordination regarding visiting scholars, and resident/fellow applicants. This individual’s job has three main components: 1. Direct and confidential administrative support of assigned reconstructive plastic surgery faculty 2.

Support of Division Administrative Operations 3. Support to reconstructive surgery operations manager on projects and day-to-day operations as necessary The Department of Surgery is one of the largest Departments within UWMedicine’s School of Medicine. The Depa! rtment’s activities are spread across nine campuses including the ! University of Washington Medical Center (UWMC), Harborview Medical Center (HMC), Seattle Children’s Hospital (SCH), the VA Hospital, Seattle Cancer Care Alliance (SCCA), Northwest Hospital (NWH) and the Health Sciences Building. Additional research programs are housed at the University District Building and South Lake Union research facility.

REQUIREMENTS: High school graduation or equivalent AND five years of progressively responsible experience in office, secretarial, bookkeeping, accounting, or general administrative work OR equivalent education/experience. Additional Requirements: Expert word processing, presentation software and calendar software (Microsoft Office Suite); Some experience using Excel; Expert transcription skills with keyboarding of 50+ WPM Excellent time-management skills Detail orientation, precise and accurate work products Prompt attention to work; routine work is initiated and completed with little minimal oversight Self-directed, takes initiative and quickly and accurately understands priorities of office Ability to maintain strict confidentiality Ability to work in a shared work environment Demonstrated punctuality and reliable attendance DESIRED: College work â€Â" AA or above strongly preferred Knowledge of medical terminology and medical proce! sses Prior work in academic medicine organization Understanding and appreciation of the mission of UW Medicine Ability to gain confidence of Surgical faculty Condition of Employment: Appointment to this position is contingent upon obtaining satisfactory results from a criminal background check.
