Our Department of Surgery has an outstanding opportunity for a full-time Program Operations Specialist â€" CVES Program . The Program Operations Specialist for the Center for Videoendoscopic Surgery (CVES) is responsible for the operational management of the program. This position reports to the Faculty Director of the Program with a matrixed reporting relationship to the Associate Director for Clinical Programs. The Program is a part of the Department of Surgery in the UW School of Medicine

Under general direction, the individual in this position organizes the operations of the program and manages and coordinates its activities. T! his is a multi-faceted, fast-paced and high volume position. T! he individual in this position must be a self-starter, expert time manager and comfortable with a myriad of different projects and operational tasks and must be able to prioritize with ease and accuracy. Day-to-day operations are not specifically assigned and most tasks are completed independently with minimal guidance from the Program Director and/or Associate Director. It is essential that this individual not allow any of the operations of the program to fall from view.

Additionally, this individual must be dedicated to superior service to inside and outside customers and must have the full confidence and trust of the Center’s faculty and the Associate Director in his/her role as the “first line” representative of the Program to all its constituents. The individual in this position must be able to successfully interface between the academic, research and clinical aspects of the program.

The major aspects of this position fall into four categorie! s:
Management of CVES Educational Programs, for Surgery Resident technical skills, community surgeon training.

Fiscal Management of the CVES Program (which includes pre and post award grants and contracts activity)

Management of the Advanced Minimally Invasive Surgery Fellowship Program (2-3 Fellowship positions per year)

Oversight of Operational Activities of the CVES Program

Success in this position will be recognized when program activities are in alignment with the goals and objectives of CVES, that the Faculty Director and Associate Director are alleviated of program detail, and the program is seen as efficient and well-organized from internal and external customer’s point of view.

The Department of Surgery is one of the largest Departments within UW Medicine’s School of Medicine. The Department’s activities are spread across nine campuses including the University of Washington Medical Center (UWMC), Harborview! Medical Center (HMC), Seattle Children’s Hospital (SCH), the VA Hosp! ital, Seattle Cancer Care Alliance (SCCA), Northwest Hospital (NWH) and the Health Sciences Building. Additional research programs are housed at the University District Building and South Lake Union research facility. Requirements:
BA in r! elevant field (Business Administration or scientific field), plus 3-5 years of progressively responsible program operations support experience.

Additional Requirements:
Proficiency in Microsoft Office Suite of products, particularly Word, PowerPoint, Outlook and Visio

Proficiency in Excel, Access and Project Manager (or similar)

Comfortable with self-direction and independent action;

Flexible hours may be necessary

Demonstrated ability to exercise good professional judgment

Demonstrated service orientation

Working knowledge of UW financial and grant and contract systems

Demonstrated attention to detail

Budget/financial experience

Very strong writing skills

Professional demeanor and attire

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Knowledge of academic medicine highly desirable

Experience working with fellowship programs;

Knowledge of medical terminology

Experience working with academic medical faculty

Experience in putting together medical educational programs

Project management skills
