Administrative Support Assistant

Location: Seattle, Washington

Duties of the position include, but are not limited to the following:

  • Distributes and balances the daily workload among two other medical transcribers in accordance with work flow established by the Anatomic Pathology supervisor assuring timely accomplishment of all assigned tasks and assures each employee has sufficient work to remain busy, resolving simple employee complaints and reports disciplinary matters to the supervisor, and provides on-the-job training in accordance with established plans.
  • Reviews work as directed to ensure that supervisor's instructions, methods and deadlines have been followed.
  • Acts as liaison between PLMS and the Decedent Affairs Office. Reviews death certificates for discrepancies, accuracy and timely completion.
  • Acts as administrative coordinator in all diagnostic organ specific studies.
  • Provides training for new and existing employees by teaching pathology terminology and providing practical examples of procedures and methods used in the section.
  • Evaluates requirements, researches alternative information sources, analyzes new information for validity to the pr oject criteria and compiles data for review.

  • Coordinates the daily autopsy schedule and maintains a log of all hospital deaths.
  • Creates a monthly physician on-call rotation calendar and distributes to the appropriate sources.
  • Assists supervisor in collection of quality assurance/quality control data.
  • Transcribes medical dictation to provide a permanent record of Surgical Pathology, Cytopathology, Autopsy protocol and examination.
  • Types from handwritten reports, renal biopsies, bone marrow reports, and electron microscopic evaluations.
  • Responsible for accurately entering billing codes for Surgical Pathology, Cytopathology, and Autopsy reports.
  • Applies knowledge of medical terminology, anatomy and physiology, and English language rules to the transcription and proofreading of medical dictation from originators with various accents, dialects and dictation styles.
  • Recognizes, interprets and evaluates inconsistencies, discrepancies and inaccuracies in medical dictation and appropriately edits, revises and clarifies them without altering the meaning of the dictation or changing the dictator's style.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6 The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: having an extensive knowledge of medical terminology, anatomy and physiology, clinical medicine, surgery, diagnostic tests, radiology, pathology, and pharmacology, and the various medical specialties to meet reporting and processing requirements; medical transcription guidelines and practices, written and oral communication skills, including English usage grammar, punctuation and style,; use designated reference materials; operation of designated compute, dictation, and transcription equipment and other office automation equipment.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The nature of the work involves considerable and continuing pressure on the individual because of constantly changing priorities and the need to make frequent decisions to meet new priorities. The position requires the incumbent to be physically fit, mentally alert, and emotionally stable.

Work Environment: The work is primarily in an office setting. Some work is carried out in the Histology Laboratory where there is exposure to human tissue specimens and to potentially hazardous, infectious, and chemical agents.
