The Cardiothoracic (CT) Surgery in the Department of Surgery has an outstanding opportunity for a full-time Program Coordinator . The Cardiothoracic (CT) Surgery Program Coordinator is a highly visible position that will provide project coordination and administrative support to meet the demands of our busy and growing division. It is important for the CT Program Coordinator to have strong interpersonal skills, maintain a professional demeanor, and be highly customer focused as this individual will be interacting daily with faculty and healthcare professionals of all levels throughout the surgical and medical community. This position! will report to the Division Manager.

Primary Job Res! ponsibilities

Program Support for the CT Section of Advanced Care Practitioners (ACPs)

The ACP group and structure within the Division of Cardiothoracic Surgery is unique within the healthcare setting. The care model for cardiac surgery patients is a complex system, requiring multiple levels of patient care expertise. In addition to the faculty surgeons and fellows, the cardiothoracic surgical care team consists of 30 cardiac, thoracic, and ICU ACPs (ACPs = Nurse Practitioners, Physician Assistants, and Perfusionists) who help faculty meet the demands of these complex patients.

Under the overall guidance of his/her supervisor, the CT Program Coordinator will be responsible for providing programmatic support for the ACP program. S/he will accomplish this by providing administrative support to the program as well as coordination, and collaboration of this program within the broader context of the Cardiothoracic Division and its affiliates throughout! UW Medicine. Specifically, this individual will:

Work with lead ACPs and the cardiac section chief to establish and coordinate program development, program improvement and training initiatives

Coordinate regular planning meetings for the division administrator and lead ACPs as well as facilitate follow through with agreed upon agendas and plans of action

Act as primary contact for ACPs throughout the Department of Surgery, Affiliated Hospitals, and General Public

Coordinate the recruitment process of ACPs, including:

  • Assisting with recruitment documents
  • Making travel arrangements as needed
  • Creating interview schedules & overseeing itineraries
  • Acting as primary contact for candidates
  • Creating, collating, and aggregating evaluations of candidates
In collaboration with faculty affairs, perform all onboarding processes for newly hired ACPs

In concert with faculty aff! airs and Division Manager, oversee and manage appointments, privileges,! licensures, continuing education requirements, training and certifications for all ACPs

Track and monitor monthly and annual ACP expenses; alerting affected ACP and Administrator when budgets may be exceeded. Recommend and implement an approved course of action.

Management of the Division’s Annual Visiting Professor Lectureship

The annual Visiting Professor Lectureship is a significant academic event in the Division of CT Surgery. It is a multi-faceted event that involves extensive planning. Under the overall direction of the Division Chief, the CT Program Coordinator will be responsible for the successful planning, coordinating, and execution of this event. Responsibilities include:

Work with Division Chief to initiate Visiting Professor Lectureship activities, including assisting in determining speaker and date arrangement

Arrange all activities surrounding Visiting Professor personal circumstances: travel, programmatic supp! ort, honorarium, gift, transportation

Develop marketing and advertising materials, including brochures, posters and meeting materials

Ensure event is on important calendars, including the Chair of Department, Medical Director, etc. Market event by creating public awareness

Make all logistical arrangements including, room selection, rental, and media set up requirements for each research seminar as well as the Visiting Professor’s lecture

Make preparations and selections for evening reception and dinners.

Program Administrative Support

Coordinating all observation activities

Coordinating and monitoring program compliance and training activities

Serving as back-up administrative and program support to Division Chief

Providing general program support, e.g., eProcurement, reimbursements, other administrative tasks as necessary.

Requirements:
High school graduation or equivalent AND two years of experience providing program support in a clinical specialty OR equivalent education/experience.

Condition of Employment:
